To Whom It May Concern:
As representatives of Autism Speaks of the Greater Salt Lake Area, we are requesting your assistance for an upcoming fundraiser. This Utah Walk Now for Autism Speaks (WNAS) event will take place on the morning of Saturday, October 8, 2011 at Rio Tinto Stadium in Sandy, Utah. Within this proposal we have included a company overview, coverage of the objectives we wish to achieve and our operating budget.
Autism Speaks is a grassroots organization dedicated to funding research for the causes, prevention, treatment and cure for autism; increasing awareness of autism spectrum disorders; and advocating for the needs of individuals with autism and their families. Autism Speaks was founded in 2005 by Bob and Suzanne Wright, the first Utah WNAS walk was held in 2008. The current Utah WNAS director, Stephanie Lewis, has been involved in the walk in various capacities since its inception, serving as director for the past two years. The ultimate goal of this walk is to increase public awareness and support for autism research and families of those affected by autism.
We are seeking sponsors to support our upcoming walk and are specifically looking for sponsors to provide printing services for gift items (hats, drawstring bags, reusable water bottles) to be included in a participant gift bag. Sponsors participating in this event will have the option of placing their logo on any (or all) of these items.
Our goal is to keep as much of the support for this event within the state as possible and it is for this reason that we are approaching Creative Graphics as a sponsor for our gift items. We support members of Local First Utah (LFU) like Creative Graphics.
In order to minimize the high cost associated with printing and embroidering, we are seeking sponsorship from multiple Utah-based businesses. We request Creative Graphics provide embroidery of 5,000 hats. We estimate the cost of embroidery to be $10,000. We would provide the hats by July 6, 2011 and would need them embroidered and in-hand no later than September 14, 2011.
The cost of printing on drawstring bags, reusable water bottles and hats is approximately $35,000.
Drawstring bags – cost of printing per bag is $4.00
Reusable water bottles – cost of printing per bottle is $1.00
Hat – stitching cost per hat is $2.00
Goal is 5,000 participants
Participants who raise a minimum of $150 will receive a gift bag, which includes the reusable water bottle and hat inside the drawstring bag.
Stephanie Lewis, Utah WNAS director, will be in contact within three to five days to schedule an appointment to discuss Creative Graphic’s participation in further detail. Please feel free to contact us in the meantime with any questions you may have.
Thank you for your time.
Sincerely,
Zach Bosch

I worked with a team to craft this proposal letter as part of a mock PR campaign for Autism speaks, the nation's largest autism awareness organization. The intent of this proposal was to solicit sponsors for the Utah Walk Now for Autism Speaks event.
